Sportsgrove, LLC ("Sportsgrove," "we," "us," or "our") operates the Sportsgrove platform at sportsgrove.app. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our platform.

By using Sportsgrove, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password. Organization administrators also provide an organization name.

Profile Information

Players may provide additional information including date of birth, gender, phone number, and mailing address for league registration purposes.

Youth Participant Information

For youth leagues, parents and guardians provide information about minor participants including name, date of birth, gender, medical conditions, allergies, medications, and emergency contact information. This information is collected to facilitate youth sports league management and is only accessible to authorized league administrators and coaches.

Payment Information

We use Stripe to process payments. We do not store your credit card number, CVV, or full payment details. Stripe's privacy policy is available at stripe.com/privacy.

Usage Information

We collect information about how you use the platform including pages visited, features used, and actions taken. We use Google Analytics to analyze platform usage patterns.

Communications

We store messages sent through the platform including league announcements, team communications, and administrative notifications.

Device and Technical Information

We automatically collect IP address, browser type, operating system, and referring URLs when you use our platform.

2. How We Use Your Information

We use the information we collect to:

  • Create and manage your account
  • Facilitate league and tournament registration
  • Process payments and send receipts
  • Enable league management features for administrators
  • Send transactional emails (registration confirmations, payment receipts, invitations)
  • Send league-related communications from organization administrators
  • Improve and optimize the platform
  • Detect and prevent fraud and abuse
  • Comply with legal obligations
  • Respond to support requests

3. How We Share Your Information

With Organization Administrators

When you register for a league or tournament, your registration information is shared with the organization administrators running that league. Their use of your information is subject to their own privacy practices.

With Other Players

Limited profile information (name, team assignment) may be visible to other players in the same league.

With Service Providers

We share information with trusted service providers who assist us in operating the platform:

  • Stripe - payment processing
  • Supabase - database and authentication infrastructure
  • Cloudflare - bot protection and security (see Section 8)
  • Resend - transactional email delivery
  • Google Analytics - usage analytics

Legal Requirements

We may disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

Business Transfers

If Sportsgrove is acquired or merges with another company, your information may be transferred as part of that transaction.

We do not sell your personal information to third parties.

4. Children's Privacy (COPPA)

Sportsgrove supports youth sports leagues. We collect information about minor participants (children under 18) only through their parent or guardian's account. Parents and guardians are responsible for providing consent for the collection of their child's information.

For children under 13, we comply with the Children's Online Privacy Protection Act (COPPA). We do not knowingly allow children under 13 to create accounts. Information about children under 13 is collected only from their parent or guardian and is used solely to facilitate youth league participation.

If you believe we have inadvertently collected information from a child under 13 without parental consent, please contact us at legal@sportsgrove.app and we will promptly delete that information.

5. Data Retention

We retain your account information for as long as your account is active. If you delete your account, we will delete your personal information within 30 days, except where we are required to retain it for legal or financial compliance purposes.

Payment records are retained for 7 years as required by financial regulations.

6. Your Rights

All Users

You have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your account and associated data
  • Opt out of non-transactional communications

California Residents (CCPA)

California residents have additional rights including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. European Users (GDPR)

If you are located in the European Economic Area, United Kingdom, or Switzerland, you have rights under the General Data Protection Regulation including the right to access, rectify, erase, restrict processing, and port your data. You also have the right to lodge a complaint with your local data protection authority.

Our legal basis for processing your information is: contract performance (to provide the services you requested), legitimate interests (to operate and improve our platform), and consent (for optional communications).

7. Data Security

We implement appropriate technical and organizational security measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit (HTTPS/TLS), encrypted data storage, access controls, and regular security reviews.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

8. Cloudflare Turnstile

We use Cloudflare Turnstile on our signup forms to protect against automated bot activity. Turnstile operates invisibly and collects technical signals from your browser to verify that you are a human user. No CAPTCHA puzzle or visible challenge is presented to legitimate users.

By using our signup forms, you acknowledge our use of Cloudflare Turnstile. Cloudflare's data processing practices for Turnstile are described in the Cloudflare Turnstile Privacy Addendum.

9. Cookies

We use cookies and similar tracking technologies to operate the platform. See our Cookie Policy for details.

10. International Data Transfers

Sportsgrove is operated from the United States. If you are located outside the United States, your information will be transferred to and processed in the United States. We take appropriate measures to ensure that international transfers of personal data comply with applicable law.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on the platform. Your continued use of the platform after changes take effect constitutes acceptance of the updated policy.
